Overview
1Kosmos is available in the ServiceNow Store as a native identity verification application for the ServiceNow AI Platform. The integration embeds 1Kosmos document verification, biometric authentication, and cryptographic validation directly into ServiceNow workflows, allowing organizations to verify user identities at the point of risk without requiring agents or users to leave the ServiceNow environment.
With this integration, verification can be triggered manually by a service agent or enforced automatically by a workflow rule based on request type or risk category. Supported use cases include IT help desk password resets, account recovery, new user onboarding, HR and finance change requests, contractor access provisioning, and privileged change control approvals.
After a user completes an initial proofing session, 1Kosmos supports step-up re-verification for subsequent high-risk events without requiring re-enrollment.
Prerequisites
ServiceNow subscription: The 1Kosmos Verify app requires custom table entitlement, available through bundled custom tables in most ServiceNow products or through a Now Platform App Engine subscription.
Active 1Kosmos tenant with IDV enabled: Administrator access to the 1Kosmos admin portal. Contact 1kosmos.com/contact if IDV is not yet active on your tenant.
ServiceNow admin access: Rights to install applications from the ServiceNow Store and configure workflow rules and notification templates.
User contact data: Phone numbers or email addresses for end users must be populated in ServiceNow user records. The integration sends verification links to users via SMS or email to initiate the proofing session.
Integration steps
Step 1: Install from the ServiceNow Store In your ServiceNow instance, navigate to the ServiceNow Store at store.servicenow.com and search for "1Kosmos". Select the 1Kosmos Verify application and click Get. Follow the installation prompts. The app has no external dependencies and installs directly into the Now Platform.
Step 2: Configure the 1Kosmos connection After installation, navigate to the 1Kosmos Verify configuration page in your ServiceNow instance. Enter your 1Kosmos tenant API endpoint and API credentials. These values are available in the 1Kosmos admin portal under API Settings. Save and test the connection to confirm communication between ServiceNow and 1Kosmos is active.
Step 3:Configure verification workflows In the 1Kosmos admin portal, define the verification journey for each ServiceNow use case. Set the required document types (passport, driver's license, national ID) and whether biometric selfie matching with liveness detection is required. Configure the pass/fail notification format — the result is returned to the ServiceNow agent view as a clear pass or fail status.
Step 4: Set up agent-initiated verification In ServiceNow, configure the 1Kosmos Verify action to appear in the agent interface for relevant ticket types (password reset, account recovery, onboarding). When an agent triggers verification, the system sends a link to the user's registered phone number or email. The user completes document scan and selfie on their mobile device. The result is returned to the agent in the same ticket.
Step 5: Configure automated workflow enforcement For automatic enforcement, add the 1Kosmos Verify step to the relevant ServiceNow workflow or flow designer rules. Define the conditions that require verification (e.g., ticket category = password reset, or request type = privileged access change). The workflow pauses pending verification completion before proceeding to fulfillment steps.
Step 6: Test Run a test verification through a sandbox ticket. Confirm the user receives the verification link, completes the document and biometric steps, and that the result correctly updates the ticket state. Test both the agent-initiated and automated workflow paths before enabling in production.
Integration notes
The integration replaces knowledge-based authentication questions and one-time passcodes in help desk workflows. Users who have completed an initial proofing session can be re-verified at later risk points using their stored biometric without repeating the document scan. This supports recurring use cases like quarterly privileged access reviews or policy-triggered re-verification after role changes.
For contractor workflows, verification results can feed into access provisioning rules so that the provisioning step does not proceed until identity is confirmed.
